The Challenge
Booking platforms, property management systems, accounting systems and banks each hold a different part of the financial picture:
- OTAs hold reservation and booking details
- The PMS organizes bookings at property level
- The accounting system records the transactions
- The bank shows the actual cash movement
For the numbers to reconcile, these systems need a clear, consistent financial map.
In this case, the portfolio included 48 properties and multiple booking channels. Each OTA used different formats and structures, while the PMS and accounting records still had to match that information.
The challenge was bigger than simply reconciling files. The key questions were:
- How does an OTA transaction map to the PMS?
- How does the PMS transaction map to the accounting system?
- Which property, owner and booking should each transaction belong to?
- How should rental revenue, cleaning fees, commissions, taxes and adjustments be treated?
- How should the accounting activity reconcile to the bank?
- Which parts of the process can actually be automated?
